This Private Policy outlines how we collect, use, disclose and safeguard your information in accordance with the Personal Data (Privacy) Ordinance (Cap. 486) of Hong Kong.
1. Data We Collect
To provide effective recruitment and placement services, we may collect the following information: • For Candidates: Name, contact details, employment history, academic qualifications, professional certifications, salary expectations and references. We may also collect HKID or Passport numbers for right-to-work verification when required by law. • For Employers: Contact details of company representatives, business registration information and job specification details. • Referees and Emergency Contacts: Individuals whose details are provided to us by candidates. • Technical Data: IP addresses and cookies when you visit our website to improve your user experience.
2. Purpose of Collection
Your data is used for the following purposes: • Assessing suitability for current or future job vacancies. • Verifying credentials and conducting professional reference checks. • Facilitating the recruitment process between candidates and employers. • Complying with statutory requirements under the Employment Ordinance. • Sending career advice and market updates (subject to your explicit consent).
3. Disclosure & Transfer of Data
We believe in transparency. We will not submit your CV to any employer without your prior consent. Your data may be shared with: • Potential employers: Your CV and application details are only shared with a specific client after obtaining your prior consent for that role. • Third-Party Service Providers: Such as IT hosting, background check providers or academic institutions for verification, under strict confidentiality agreements. • Government or Law Enforcement Authorities (e.g., The Labour Department) where required by law. • Professional Advisors: Such as lawyers or accountants as necessary. We do not engage in the sale of your personal information.
4. International Data Transfers
As a Hong Kong-based agency, your data is primarily processed locally. If a transfer outside of Hong Kong is necessary (e.g., to an international client), we will ensure an adequate level of protection is in place required by law.
5. Data Retention Policy
In accordance with Hong Kong PDPO guidelines: • Unsuccessful Candidates: We retain your data for up to 2 years for future matching opportunities. After this period, your data will be securely deleted unless you request otherwise. • Placed Candidates: Relevant employment records are kept for 7 years to comply with tax and labor laws. • Employers: Business contact data is kept for the duration of our commercial relationship.
6. Direct Marketing
We may use your name and email to send you job alerts or market insights. However, we will only do so if you have opted in. You have the right to “opt-out” at any time by clicking the “Unsubscribe” link in our emails or contacting our Data Protection Officer.
7. Your Rights (Access & Correction)
Under the PDPO, you have the right to: • Access and Correction: Request access to or correction of your personal data. that we correct any inaccuracies. • Withdraw Consent: Where processing is based on consent, you may withdraw it any time. • Opt-out of Marketing: Unsubscribe from marketing communications using the link in our emails or by contacting us. • Complaints: Lodge a complaint with the Office of the Privacy Commissioner for Personal Data, Hong Kong. • To exercise your rights, please contact us using the details in Section 10.
8. Data Security and Retention
Security: We implement industry-standard encryption and organizational security measures to protect your data from unauthorized access, accidental loss, or destruction. However, we give no warranty against third parties hacking into the data or any unauthorised access to the data by anyone. Retention: We retain personal data only as long as necessary for the purposes collected to fulfill legal obligations (e.g., statutory reporting periods) or to establish or defend legal claims. Candidate data is typically reviewed periodically and outdated profiles are deleted.
